Terms of Service

1. Agreement and eligibility

By creating an account or using Aida, you agree to these terms and the referenced Privacy and Data Protection terms. You must be able to enter a binding agreement and, if using Aida for an organization, have authority to act for it. The service is intended for business use.

2. Accounts and teams

Provide accurate registration information, protect your password and keep access limited to authorized users. Workspace owners control invitations and roles and are responsible for their team’s activity. Notify Aida promptly of suspected unauthorized access.

3. The service and early access

Aida provides merchant services for businesses: a point of sale (POS) for card and cash sales, card payments by Tap to Pay on Android, card reader, QR code and payment link, a transaction ledger with refunds, disputes and payouts, customer profiles, loyalty rewards and offers, B2B invoicing, reports and exports, team roles and optional integrations. Aida is not a CRM and is not a bank. Early-access features may change, be interrupted or be withdrawn as the product develops. We will use reasonable care to maintain the service, but do not promise uninterrupted availability or that every feature will remain unchanged.

4. Customer data

You retain ownership of data you submit. You grant Aida the limited right to host, copy, transmit, analyze and display it only as needed to provide, secure and support the service. You are responsible for having a lawful basis and appropriate notices for personal data you upload, and for the accuracy and legality of your content. Export important records regularly.

5. Acceptable use

Do not use Aida to break the law; infringe rights; send unlawful spam; store malware; probe, overload or bypass security; access another customer’s data; reverse engineer protected service components except where law permits; resell access without permission; or upload special-category, payment-card, government-identifier or similarly sensitive data unless approved in writing. Aida may restrict activity that threatens users, the service or third parties.

6. AI, reports and data quality

AI output, reports, projections and data-repair suggestions may be incomplete or wrong. They support business review and do not replace professional, legal, financial or commercial judgment. Review source records and proposed changes before acting. Aida does not guarantee sales results, the accuracy of projections or the accuracy of third-party information.

7. Third-party services

Integrations with OpenAI, our Payment Partner or other third-party providers are also governed by their terms. You authorize Aida to exchange the data needed for actions you request. Providers may change or limit their APIs, and Aida is not responsible for outages or changes outside its control.

8. Payments

Payment processing, payouts and connected-account services in Aida are provided by our payment processing partner (“Payment Partner”), not by Aida. Aida’s own fees are also collected through the Payment Partner.

By connecting a payment account or using payment features in Aida, you agree to the Stripe Connected Account Agreement, which includes the Payment Partner’s services agreement. The Payment Partner may change its terms from time to time.

Aida is not a bank, payment institution or e-money issuer. Aida does not hold, receive or transmit your funds. Balances, payouts and transaction details shown in Aida come from the Payment Partner.

Aida is not responsible or liable for the acts or omissions of the Payment Partner. This includes account verification and identity (KYC) decisions; holds, reserves or frozen funds; payout timing or failed payouts; fees and currency conversion; chargebacks, disputes and refunds; fraud screening; the Payment Partner’s service outages or errors; and the Payment Partner restricting or closing your account. Please raise these matters directly with the Payment Partner.

You are responsible for the transactions you process, for your own taxes (including VAT) and legal compliance, and for the accuracy of the information you give the Payment Partner.

Aida does not store full card numbers. Card details are entered on the Payment Partner’s secure forms and go directly to the Payment Partner.

The limitations in this section apply to the maximum extent permitted by applicable law. Nothing in these terms limits rights you have under mandatory consumer protection law.

9. Fees

Aida charges a monthly plan fee for the plan you choose (Solo, Team or Business). Card payments carry an all-in fee that includes card processing, as shown on our pricing page. In-person card payments are taken with Tap to Pay on Android, or by QR code or pay link on the customer's phone. Merchants on an older payment account keep their current pricing until they move to a new payment account.

Founding Merchants programme

These terms apply to businesses that join the Founding Merchants programme.

  1. Founding Merchants pay a 0.99% card rate for the first 6 months from the date card payments are activated. After that, the standard card rate in force applies. The founding rate does not change the monthly plan fee.
  2. After the 6-month founding period, and for all other merchants at any time, Aida may change its prices with at least 60 days' notice by email and in the dashboard. You can stop using Aida at any time without a fee.
  3. Fee credits (switching, referral) reduce Aida fees only, have no cash value, can't be transferred, and expire 12 months after they're issued. One founding membership per business. Aida may withhold or reverse credits in cases of misuse (for example self-referral or related businesses).
  4. The programme ends when 100 businesses have joined or on 31 March 2027, whichever comes first. Aida may close it earlier to new applicants.
  5. Card payments are processed by the Payment Partner, and you also accept the Connected Account Agreement described in section 8.

You pay the monthly fee for the plan you choose and the usage-based card fees shown on our pricing page, charged per card payment; cash sales and bank-transfer invoices carry no Aida fee. The first 20 businesses get their plan free for 3 months from activation. Aida will not start charging you a plan fee without your agreement.

10. Intellectual property and feedback

Aida and its software, design and branding remain owned by the operator and licensors. These terms grant a limited, non-exclusive, non-transferable right to use the service during the agreement. If you provide feedback, Aida may use it without restriction or payment, provided it does not identify you or disclose your confidential data without permission.

11. Suspension and termination

You may stop using the service and request account deletion. Aida may suspend or terminate access for material breach, security risk, unlawful use, non-payment of an agreed paid plan or discontinuation of the service. Where practical, reasonable notice and an opportunity to export data will be provided, unless immediate action is necessary.

12. Warranties and liability

The service is provided with reasonable care, subject to the early-access limitations above. To the extent permitted by law, implied warranties are excluded. Neither party is liable for indirect or consequential losses, lost profits or lost data that could reasonably have been avoided by maintaining an export. Aida’s aggregate liability arising from the service is limited to the greater of fees paid in the preceding 12 months or DKK 1,000. These limits do not apply where liability cannot lawfully be limited, including fraud, wilful misconduct or mandatory statutory rights.

13. Governing law and disputes

These terms are governed by Danish law, without limiting mandatory rights that apply in your country. The parties should first try to resolve disputes through direct discussion. Subject to mandatory jurisdiction rules, disputes will be handled by the competent courts in Denmark.

14. Changes

Aida may update these terms as the product or law changes. Material changes will be communicated reasonably in advance where possible. Continued use after the effective date means acceptance; if you do not agree, stop using the service and request export or deletion.
